This article outlines one approach to configuring this in First AML for Australian customers. It is intended as general guidance rather than prescriptive instructions.
The structure of your cases and the individuals you verify depend on your organisation's compliance programme and the legislation applicable in your jurisdiction.
When you're verifying an entity through the person who represents it, you can add that person to the structure as acting on behalf of the entity. This article covers the setup. You'll work in the Structure tab.
When to use this
- Public company: the structure chart shows directors but not shareholders, so you may verify the individual acting for the company instead. See How to verify a Public Company.
- Mortgagee in possession sale: you verify the individual acting for the entity exercising the power of sale, typically a bank. See How to verify a mortgagee in possession sale.
Add the individual
- Open the case and go to the Structure tab.
- Select Edit structure, then Add individual.
- Enter the individual's name.
- Set their relationship type to Acting on behalf.
- Select Add individual.
If you're only verifying this individual, mark the entity's directors as not needed.
Collect requirements
Go to Quick actions > Send requirements for the individual. Typical items include:
- Identity verification. Your compliance programme decides whether this is a simplified screening-only check or a full verification.
- A document confirming their authority to act for the entity.
- Scenario evidence, such as proof the company is listed (public company) or evidence of the entity's execution of rights (mortgagee sale).
