Summary
This article explains how to review, edit, and approve a case throughout its lifecycle
- Reviewing a case: Use the Review case function to quickly view all individuals, entities, notes, and checks in a read-only format. This can be done while the case is In Progress or Ready for Review.
- Editing a case:
- While a case is In Progress, most details can be edited freely.
- When a case is in Ready for Review, you can update select items such as requirement statuses, screening outcomes, and monitoring settings without reworking the case.
- Approving a case: After reviewing a case in Ready for Review, click Approve to move it to Completed status.
Review Process Overview
There are now two main ways to review a case:
Quick review using the Review Case window – a read-only summary of individuals, entities, notes, and checks. You might use this if you are approving your own work as a quick review before clicking approve.
Multi layer review workflow – used when a case moves to Ready for Review, allowing eligible reviewers to officially start and complete the review process.
Reviewing a case (Quick review)
You can view key case information at any time using the Review Case option.
To open the review window:
Navigate to the case
Click the three dots in the top-right corner
Select Review Case
The read-only review window will open
This window allows you to view individuals, entities, case notes, and checks without making any changes.
Multi layer review workflow
When a case moves to Ready for Review, workflow is available to formally manage case approvals, allowing multiple stages of review.
There are two ways to assign required reviewers:
Option 1: Manual Assignment
You can manually assign specific users as reviewers within the case. Once assigned:
Only those users can begin the formal review
Assigned reviewers will see a notification in their dashboard
Option 2: Automatic Assignment (Compliance Rule)
You can configure a compliance rule that automatically assigns the required reviewers when the case reaches Ready for Review.
This allows teams to:
Standardise reviewer assignment based on case types, tags, or other criteria
Reduce manual admin and improve consistency across cases
Important: If you have Case Complete automations enabled, these will override any review compliance rules. The case may skip the formal review process if automation criteria are met.
Start a Review
If you are eligible to review the case:
You will see a Start Review button at the top of the case
Click this to mark that you’ve picked up the review (this prevents others from reviewing at the same time)
The button will change to End Review once started
This allows the platform to record:
Who started the review
When the review was started and completed
Note: You must be explicitly assigned as a reviewer to see the review notification on your dashboard.
Editing a Case in Ready for Review
While the case is in Ready for Review, you can make certain updates without reworking the case. Editable items include:
Manifest Tab
Requirement statuses (Complete, In Progress, Not Applicable)
Individual and entity statuses
Screening Tab
Overall screening status
Screening status notes
Uploaded screening reports
Individual screening hit statuses and notes
Bulk status changes for hits
Monitoring toggle
If you need to change details outside the list above (e.g. edit case information, add requirements, or change the risk assessment), you must rework the case to move it back to In Progress.
Approving a Case
If your workflow allows users to approve their own work then once all information and checks have been reviewed:
Open the case
Click Ready for review
Click the Approve button in the top-right corner
The case status will change to Completed, and no further edits will be possible
