Auto-Send ID Verification Forms
Automatically send ID verification form links to your clients using the Send verification form automation rule. This automation reduces manual work and helps cases progress faster.
You can configure the rule to apply to all individuals who meet the criteria* or use conditions to narrow down who it applies to. For example, you might set the rule to apply only to individuals submitted under a specific office, or to those submitted via the public API.
Use the Don’t send email when condition to prevent sending the ID form in specific scenarios, such as when:
The case has entities.
A duplicate individual has been detected.
How to configure:
Go to Settings > Manifest > Automation Rules.
Name your rule (e.g., Auto-send verification form).
Select the automation: Send verification form.
Set any Don’t send email when conditions, if needed.
Add When conditions, if applicable.
Add Except when conditions, if applicable.
Click Save.
Conditions for Auto-Send:
The system will only send Electronic ID Verification (EIV) emails automatically when:
The individual has a valid email address.
The individual’s Verification Type (VIC) meets the conditions outlined in the section below.
Emails are sent to:
The case contact (if they have an email).
If no case contact exists, the first individual with an email address.
Auto-send rules via Public API
Auto-Send will only occur if:
- The case is created via the Public API.
- The individual requires verification and has a valid email address.
- The individual’s VIC meets the conditions outlined below.
Verification type rules
The individual’s verification type, combined with the information provided, determines whether the auto-send email is triggered. You can choose which verification types the auto-send rule applies to.
An ID form will be sent to individuals with these VIC types:
- Screening + ID anti-tampering
- KYC + ID anti-tampering
- Screening + ID anti-tampering + biometrics
- KYC + ID anti-tampering + biometrics
An ID form will not be sent to individuals with these VIC types:
- Screening only
- KYC (name, dob, address)
Things to keep in mind
When using the Auto-Send ID Form feature:
Ensure the contact email is correct on submission. The form will be sent immediately once the case is submitted. If the email is wrong, the form (and any automated follow-ups) will be sent to the wrong person.
Confirm the case is ready for client contact. If the client is contacted too early, they may not complete the ID form at the right time, which could slow down your process.
FAQ
Can I have this for SMS on case submission?
No, this feature currently only supports email ID forms.
Can I use this for Secure Webforms?
This is only for individual verification forms. If you are sending a secure webform (Requirements) it is best to manually ensure you are requesting all the correct information.
